7-Minute Rule Formula

The following formula is used to calculate the rounded time based on the 7-Minute Rule.

RT = 15 × floor((M + 7) ÷ 15)

Variables:

  • RT is the rounded time (minutes)
  • M is the whole-minute count from midnight for the actual clock-in or clock-out time

For whole-minute punches, add 7 to M, divide by 15, take the floor (round down to a whole number), then multiply by 15. This sends 1–7 minutes past a quarter hour back and 8–14 minutes forward. Round clock-in and clock-out separately before subtracting the rounded times.

What is a 7-Minute Rule?

The 7-Minute Rule is a timekeeping method often used in workplaces for payroll purposes. It is used to round an employee’s arrival and departure times to the nearest quarter of an hour. For example, if an employee clocks in at 8:07, their time would be rounded to 8:00; if they clock in at 8:08, it would be rounded to 8:15. The same rule applies for clocking out. Federal rules accept quarter-hour rounding only when it does not, over time, fail to compensate employees properly for all time actually worked. Applying the same rule consistently is not sufficient by itself. Applicable state and local rules also matter; this calculator only performs clock arithmetic. See 29 CFR 785.48(b).

How to Calculate 7-Minute Rule?

The following steps outline how to calculate the 7-Minute Rule:

  1. First, determine the actual minute the employee clocks in or out (M).
  2. Add 7 minutes to the actual minute (M + 7).
  3. Divide the result by 15, then take the floor (round down to a whole number).
  4. Multiply that whole number by 15 to obtain the rounded minute count.
  5. Convert the rounded minute count to a clock time, carrying into the next day when necessary. For a shift, round each punch separately and then subtract.

Example Problem:

Use the following variables as an example problem to test your knowledge:

Actual minute (M) = 23

Apply the formula:

RT = 15 × floor((M + 7) / 15)

RT = 15 × floor((23 + 7) / 15)

RT = 15 × floor(30 / 15)

RT = 2 * 15

RT = 30

Therefore, the rounded time (RT) is 30 minutes.
