Banquet Cost Formula

The banquet cost calculator uses the basic relationship between total guests, cost per guest, and total banquet cost.

BC = G * CPG

Rearranged formulas:

G = BC / CPG
CPG = BC / G
  • BC = banquet cost, in dollars
  • G = total guest count
  • CPG = cost per guest, in dollars per guest

If you enter the total guest count and cost per guest, the calculator finds the total banquet cost. If you enter the total banquet cost and cost per guest, it finds the guest count. If you enter the total banquet cost and guest count, it finds the cost per guest.

Common Banquet Cost Ranges

Actual costs vary by location, menu, venue, service style, taxes, and gratuity. These ranges are useful for checking whether your result is in a typical range.

Banquet Type Typical Cost per Guest Notes
Simple buffet or casual meal $20 to $45 Usually lower staffing and simpler menu items
Standard plated dinner $45 to $90 Common for weddings, awards dinners, and formal events
Premium banquet $90 to $175+ May include higher-end food, open bar, rentals, or added service

Costs Often Included or Added Separately

Cost Item Usually Included in Per-Guest Price? Why It Matters
Food Yes This is usually the main part of the per-guest cost.
Beverages or bar service Sometimes Alcohol, coffee service, and soft drinks can change the total sharply.
Service charge or gratuity Sometimes A service charge of 18% to 25% can add a large amount to the final bill.
Tax Usually no If tax is not included, your final payable amount will be higher.
Room rental, linens, or equipment Sometimes Flat fees are not always reflected in a simple per-guest calculation.

Example Banquet Cost Calculations

Example 1: Find the total banquet cost

You are planning for 120 guests, and the cost is $65 per guest.

BC = G * CPG
BC = 120 * 65 = 7800

The banquet cost is $7,800.

Example 2: Find the cost per guest

Your total banquet cost is $9,600, and you have 150 guests.

CPG = BC / G
CPG = 9600 / 150 = 64

The cost per guest is $64 per guest.

FAQ

What should be included in cost per guest?

Cost per guest should include the items you want reflected in the banquet total. For a basic estimate, use the food and beverage cost per person. For a more complete estimate, include service charges, gratuity, taxes, rentals, and other per-person fees if they apply.

Why does the calculator allow a decimal guest count?

The calculator returns decimal results because it uses direct division. In real planning, guest count should usually be rounded to a whole person. If the result is 124.6 guests, you would normally plan for 125 guests.

How do I account for fixed banquet fees?

This calculator is based on a per-guest cost. If you also have fixed fees, calculate the guest-based cost first, then add the fixed fees separately. For example, if the guest-based cost is $7,800 and the venue fee is $1,000, the adjusted total is $8,800.
