Total flights, lodging, food, and activities with a contingency buffer to get trip cost, per-person, and per-day totals.
Vacation Budget Formula
The calculator builds a trip budget from its component costs, then adds a contingency buffer:
T = (Tr + L*N + F*P*(N+1) + A + O) * (1 + c)
Variables:
- T is the total trip budget
- Tr is transportation for the whole group, round trip - flights, gas, trains, baggage fees, transfers
- L is lodging per night and N is the number of nights
- F is food per person per day, and P is the number of travelers; days are counted as N + 1 since a 5-night trip spans 6 days
- A is activities and tours, O is shopping and other spending
- c is the contingency buffer as a decimal (a 10% buffer is 0.10)
Enter the travelers and nights, then whichever costs apply - anything left blank counts as zero. The calculator returns the total, the cost per person, and the cost per day, with a full component breakdown. The contingency buffer covers the surcharges, taxes, and small surprises that every real trip produces; 10% is the common default.
Typical Daily Costs by Travel Style
Rough planning figures per person for a U.S. or comparable destination. Multiply by your party size and days for a first-pass estimate before you price real bookings.
| Travel style | Lodging/night (room) | Food/person/day | Activities/person/day |
|---|---|---|---|
| Budget | $80 - $120 | $40 - $60 | $0 - $25 |
| Mid-range | $150 - $250 | $60 - $100 | $25 - $75 |
| Upscale | $300 - $500+ | $100 - $200 | $75 - $150 |
| Theme park trip | $200 - $400 | $70 - $120 | $120 - $200 (tickets) |
Example Problems
Example 1: A couple's 5-night trip.
Two travelers, 5 nights. Flights total $600, lodging is $150 per night, food is $60 per person per day, activities $300, shopping $150, with a 10% buffer:
Lodging = 150 x 5 = $750. Food = 60 x 2 x 6 = $720. Subtotal = 600 + 750 + 720 + 300 + 150 = $2,520. T = 2,520 x 1.10 = $2,772 - about $1,386 per person or $462 per day.
Example 2: A family road trip.
Four travelers, 3 nights, $180 gas, $140 per night lodging, $45 food per person per day, $200 activities, no shopping, 10% buffer:
Subtotal = 180 + 420 + (45 x 4 x 4) + 200 = $1,520. T = 1,520 x 1.10 = $1,672.
Frequently Asked Questions
How much should I budget for a vacation?
A common guideline is 5-10% of annual take-home income across all travel for the year. The more reliable approach is bottom-up - price the actual flights and lodging for your dates, apply per-day food and activity figures, and add a 10% buffer, which is exactly what this calculator does.
Why count days as nights plus one?
A 5-night trip touches 6 calendar days, and you eat on all of them - including the travel days on each end. Counting food and daily costs on nights alone consistently under-budgets by roughly one day per trip.
How do I save for the trip without touching my regular budget?
Divide the trip total by the months until departure and set that amount aside automatically - a sinking fund. A $2,772 trip that is 9 months away costs $308 per month, which is far easier to absorb than one large hit to a single month's budget.
